A cancellation is a hole in the day and lost production. The fast-pass waitlist closes it: when a booked visit cancels, the freed slot is offered to patients who asked to be told if something opened sooner — first-come, one-click to claim.
- 1Patients join the waitlist themselves from your portal ("notify me if something opens sooner") or you add them from the Appointments drawer.
- 2When a matching slot frees up (same visit type, same provider window), the earliest waitlisted patient gets an email with a one-click claim link.
- 3They claim it; the visit books and confirms in one step, and the rest of the list is told the slot is taken.
- 4You see "Fast-pass filled — [name]" on the schedule so it never surprises the desk.
Why it beats a sticky note
The old way — a paper list you phone through when someone cancels — only works if the desk has time to make calls. This works while the phones are busy, at 9pm, on a weekend. The patient claims the slot themselves.
